Hetzner Summit data protection policy

Welcome to Hetzner! We are thrilled that you are interested in taking part in the Hetzner Summit. This data protection policy will give you an overview of how we will process your data before, during, and after the event.

1. Who is officially responsible for processing my data?

3. Scope, purpose, and legal basis for processing your personal data

For organizing the event itself

We will process the following personal data that you provide us with during your registration (on the Hetzner Summit website and at the event itself):

  • First name
  • Last name
  • Email address
  • Job title (optional)
  • Company/organization (optional)
  • Photo ID.
We will process this data so that we can organize your participation in the event. These efforts will include registering for the event, communications about the event, and follow-up communications after the event. We will automatically transfer your personal data to our system for the event.
The legal basis for the processing of your data is Art. 6 para. 1 lit. f of the GDPR. We have a legitimate interest in ensuring that the event is well organized and runs smoothly, and to ensure the safety and security of the event attendees and of our data center.

Newsletter
If you register to our customer newsletter, we will use your email address to send you the newsletter.
The legal basis for the processing of your data is Art. 6 para. 1 lit. f of the GDPR. Before you receive the newsletter, you need to give us your permission. There is a double-opt in process for signing up for the newsletter.

Accessing the website; data saved in local storage
When you access our website, certain pieces of your personal data will be stored in local storage with us at Hetzner:
  • IP address: We will save your IP address in an anonymized manner so that it cannot be traced back to you.
  • Date and time you access the site: We will save the date and time that you access the website.
  • Type and version of your browser: We will save information about the type and version of browser you use to access the site.
  • Operating system: We will also save information about the operating system you use when you access the site.
  • Referrer-URL: If you access the website from another website, we will save the other website’s URL
  • Access status/HTTP status code: We will save information about whether you successfully accessed the site and if there were any issues accessing the site.
  • Amount of transferred data: We will save the amount of data that is transferred while you access the site.
  • Screen resolution: We will save information about the resolution of the screen for the device that you use to access the website.
  • Time zone setting: We will save information about your time zone setting for where you are located.
  • Language and version of browser software: We will save information about the language settings and version of the browser that you use to access the site.
  • Unique device identifiers: We will save any IDs that are assigned to the device and can be used to recognize it.
  • Logfile data: This may contain addition information such as fault reports, page load times, and other technical data.
The legal basis for the temporary storage of this data is Art. 6 (1) lit. b GDPR, which is necessary for the smooth operation of the website.

Cookies
Cookies are small files that are stored on a user’s device when a user visits a website. The main purpose of a cookie is to provide information about the user (or about the device that the cookie is stored on). The cookie provides this information when the user accesses the website, and if it applies, after the user has visited the site. When you access this website, the following cookies are put in place and saved:
  • Session-cookie
    The session cookie is saved in the main memory of your device. The cookie contains an identifications number (session ID) as well as information about its origin and storage period. The cookie will only be stored for the duration of your visit to our website. After you leave our website, or after you close your broswer window, the cookie will be deleted. The legal basis for the processing of your data is Art. 6 para. 1 lit. f of the GDPR. The session cookie is absolutely necessary for the website to work.
You can delete any cookies that have already been saved by going to your brower’s system settings. You can completely deactivate the cookies in your browser’s settings. However, by completely deactivating the cookies, the website may not operate smoothly.
We receive the data described above directly from you, and we therefore collect the data directly from you.

4. Who has access to my data?

Only our internal event team will have access to your data. Our team needs this information to make sure that the even goes smoothly.


5. Will my data be sent or processed somewhere outside of the EU?

No, your data will remain within the EU.


6. How long will my data be saved?

When the event is over, we will securely and permanently delete all of your data.


7. Photos and videos of you

Members of our event team will take photos and make videos during the event, including at the event’s reception area. We will use these images and videos in posts on our social media channels (Facebook, Instagram, LinkedIn, X, and Youtube) and in our internal company newsletter.

It is possible for you to give consent to being recorded, but to NOT give consent to the publication of your image. If you would like to do this, please use one of these options to let us know. You can do this for free and without needing to give us a reason why.
  • via email at data-protection@hetzner.com or
  • at the day of the event at the reception area.

If you choose this option, we will avoid publishing any additional material with your image on it and we will remove your image from the photos/videos on our social media accounts, or make you unrecognizable in them.

We would like to point out that it is possible to store and access photos and videos worldwide once they have been published on the Internet. We cannot rule out that third parties may try to use information that we have published or that search engines may find your image, even if we remove your image from our social media accounts after you ask us to.

8. Which rights to I have when it comes to my data?

It is very important to us that you have control over your personal data, and you have several rights regarding it. If you would like to exercise any of these rights, please contact our data protection officer. Here is an overview of your rights:

Right to access
You can use this right to get information at any time about whether or not we process your personal data and about what personal data we process on your behalf.

Right to rectification
If we save data about you that is incorrect or incomplete, you can use this right to ask us to correct it or complete it.

Right to erasure/Right to be forgotten
You have the right to demand that Hetzner delete any personal data about you when that data is no longer needed for the purpose it was obtained.

Right to restriction of processing
If, for example, you believe that there is a mistake in your personal data, or if you believe that we are processing your data in an unlawful manner, you have the right to demand Hetzner restrict the manner in which it processes your data.

Right to data portability
You have the right to obtain the personal data about you from Hetzner in a format that is well structured, commonly used, and is machine-readable. You also have the right to demand that this information be transmitted to a third party (a controller) as long as this is technically feasible.

Right to object
You have the right to object to Hetzner processing your personal data. As an exception, your data may still be processed if there is an urgent public interest in doing so.

Automated individual decision-making (including profiling)
You have the right to NOT be subject to a decision based soley on automated processing (including profiling) in situations where legally binding results affect you, or or the decisions have a similar level of affect on you. Hetzner does not use automated decision-making technology.

9. Making complaints to the relevant authorities

If you believe that we are violating any data protection laws by processing personal data, you also have the right to make a complaint to the data supervisory authority who is responsible for Hetzner. However, we encourage you to first contact our data protection officer. We always strive to resolve any possible disagreements as quickly and smoothly as possible so that we can avoid conflicts.
